Who pays — us or the employee?

Either, and it is worth choosing deliberately. For a group of two or more we invoice your organisation directly as one bill. For a single traveller it is usually simpler for them to pay at the appointment and reclaim on expenses — they get an itemised VAT invoice and receipt to attach.

Can you work to a purchase order?

Yes. Send us the PO number with the booking and it appears on the invoice. If your procurement team needs us set up as a supplier first, tell us at the quote stage and we will complete whatever forms you use.

Do you provide VAT invoices?

Yes — itemised, with VAT shown separately, suitable for your accounts and for the employee's expense claim.

How quickly can you see people?

We reply to corporate enquiries the same working day and can usually see a group within a few days. If someone is flying sooner than that, say so in the first line of your email and we will tell you straight away what is realistically possible.

Can everything be done in one appointment?

Often, but not always. Several vaccines are given as a course over a number of weeks, so a late booking may mean a partial schedule. We will always tell you what can and cannot be completed before the departure date rather than after.

What if someone has already had some of these?

Bring whatever record exists — a red book, a GP printout, a photo of a previous certificate. The pharmacist works from what is already documented so nobody is given something they do not need.

It is a general duty, not a travel rule

The Health and Safety at Work etc. Act 1974 places a general duty on employers for the health, safety and welfare of employees at work. Work travel is not carved out of it.

The risk assessment has to be written down

Under the Management of Health and Safety at Work Regulations 1999, an employer with five or more employees must record the significant findings of its risk assessment. Overseas travel is one of the things that assessment is expected to consider.

Where immunisation is part of the control measures, the employer bears the cost

HSE guidance is that immunisation offered as part of controlling a work risk should be free of charge to the employee. The Health and Safety at Work etc. Act 1974 is explicit that an employer cannot charge employees for anything done to meet a statutory duty.

Which is why the invoice usually belongs to the organisation

In practice most organisations simply invoice the trip centrally. It is cleaner for finance, it produces a single record of who has been covered, and it removes the awkward conversation about an employee paying up front for a work requirement.
